Work Schedules
Overview
Work schedules in Cerbo allow your practice to define which staff members are available on specific days and during specific hours. This keeps internal resource management organized and transparent — and directly drives the availability patients see when booking appointments through the patient portal.

Setting Up Work Schedules
Before You Begin
Confirm that all relevant appointment types have been created before setting up work schedules. You can manage these by navigating to Admin > Manage > Schedule Types. Having appointment types configured in advance ensures they can be accurately assigned when building schedules.
Steps to Create a Work Schedule
1. Open the Work Schedule tool Switch your calendar to Day view. Select the work schedule icon in the top-right corner of the calendar interface.
2. Define the schedule details

| Appointment Types | Choose which appointment types can be booked during these hours |
| Start & End Time | Set the availability window for the scheduled day |
| Recurrence | Choose whether the schedule repeats (daily, weekly, monthly) |
3. Select visit types Under "Check What Visit Types are Available...", select only the appointment types intended for patient booking or that should appear on the user's calendar. This prevents patients from seeing or booking unsuitable appointment types.
4. Add internal notes (optional) Use the Event Details notes field to add any internal-only comments or context about the schedule.
5. Set the date and time range Enter the specific date(s) and hours the provider is available. For example: December 4, 2025, 8:00 AM – 4:00 PM.
6. Configure recurrence (if applicable) Use the Event Recurs dropdown to set the recurrence frequency. A required end date must be specified for all recurring schedules.
Example: To set a weekly Thursday schedule from 8:00 AM – 5:00 PM starting December 4, 2025, select "Every Week(s)" and set an end date of December 4, 2027.
Note: Work schedules can be created up to two years in advance. To extend availability beyond that window, return to the schedule and update the end date.
Editing Work Schedules
- Locate the work schedule on your calendar.
- Right-click the schedule entry and select Edit.
- Make your desired changes (appointment types, time slots, recurrence, etc.).
- To apply changes to all future instances of a recurring schedule, check "Apply to all future recurrences."
- Click Edit Work Schedule to save.
Deleting Work Schedules
- Locate the work schedule on your calendar.
- Right-click the schedule entry and select Edit.
- In the editing interface, click Delete Work Schedule.
- To remove only a single occurrence, leave the recurrence box unchecked.
- To remove all future occurrences of a recurring schedule, check "Apply to all future recurrences" before deleting.
