Overview
This article covers adding, editing, deleting, and restoring user profiles, plus a summary of key user settings and how to update your practice's main contact. Only users with Superadmin permissions can manage user accounts.
Details
Adding a New User
Go to Admin >> Manage >> Users and click Add New User or Resource, then select Add New User. Fill in the user's role, permission level, and login details, then click Add This User to save.
Start with a simple, generic password. On first login the user will set up 2FA and a password recovery email, then can update their password. See Reset Your Password for details.
Only Superadmin users can add, edit, or delete accounts. Changes take up to 30 days to reflect on your subscription, and fees apply even if the account isn't actively used. Billing questions: billing@cer.bo.
Editing a User
Go to Admin >> Manage >> Users and click the username to open their profile. Click Save after making changes.
Don't recycle accounts for new hires, even if the role is identical. Each user has a unique identifier used for activity history and HIPAA tracking — delete accounts for former staff and create new ones for incoming staff instead.
Deleting a User
Go to Admin >> Manage >> Users and click the red trash can next to the user's account. Reassign any open tasks, appointments, or notes first. Deleted users' historic actions remain in Cerbo.
Disabling a login is not the same as deleting an account — charges continue until the account is deleted.
Restoring a Deleted User
Go to Admin >> Manage >> Users and check Show Deleted. Click the green trash can next to the user's name and set a temporary password. Any tasks that weren't already reassigned are automatically restored to the user.
Updating the Main Contact
Your main contact is the person Cerbo contacts about your account.
Go to Admin >> Manage >> Users. The current main contact is marked with a star. Click Main Contact - Click to update below their name, choose the new contact from the dropdown, and click Set Main Contact.
User Settings Overview
| Role | Providers who prescribe must be set as Primary Provider. Other roles can be selected under Additional Clinic Staff, or entered manually if not listed. |
| Permission Level | Controls system access and determines monthly fees — see the Permissions Matrix. Restricted-access levels (**) carry a one-time fee instead of ongoing charges. |
| Name Prefix/Suffix | Use these fields for credentials instead of the Name fields to avoid e-prescribing registration issues. |
| Disable Login | Temporarily blocks login without changing the password. Fees continue until the account is deleted. |
| Calendar | Available to any user. |
| Portal Settings | Enables secure patient messaging and controls how the user's name displays to patients. |
| Assignability | Controls whether the user can be assigned tasks or documents. |
| Supervision | Sets supervising provider requirements for co-signing notes or prescribing. See Co-Signing Encounter Notes and Setting up a Supervising Physician for Prescriptions. |
| Internal Notes | Internal-only text field for notes about the user. Not a method for contacting support. |
